Gartner Critical Capabilities for CSP 2019 sheds light on collaboration and team workspaces

| Alexandra Sieron

With the (business) world upside-down and many people working from home, companies are now seeing just how well their businesses are set up to handle the impact of the current challenges. Last fall, Gartner analyzed the products of 19 content services platforms and scored them in 15 functional capabilities and how well they support five different use cases of the Gartner Critical Capabilities for Content Services Platforms 2019* report. Given the current situation, “team workspace” with its defining capabilities of collaboration and productivity may be the most interesting use case for businesses to look into right now.

Team workspace: collaboration capabilities

According to Gartner, team workspaces are:

“Supporting individuals and knowledge workers who need access to relevant content in the context of their project or work tasks in a consolidated workspace.

Content can be the outcome of collaborative processes and tasks, and is often the evidence or substance of decision making. Content can be the product itself, and is often generated by high-value workers working in teams. Although work within teams can often be ad hoc, and is often unrelated to more structured business processes, it is usually targeted at a specific business theme or outcome. Content therefore needs to be quickly and intuitively gathered within team-based workspaces that can be readily shared and collaborated on by users both inside and outside the organization.

The content itself is created, vetted, marked up or delivered through a social process or channel. It can be personal or team-oriented and may include the use of social content scenarios (such as blogs, wikis or other modern content constructs). The characteristics of these constructs are usually online, editable in real time by many users, and with built-in functions for task-based collaboration.”

SER’s Doxis4 scored “excellent” in the use case “team workspace” with 4.28 out of 5, positioning us in the highest scoring. With our collaboration platform Doxis4 iRoom, we believe that SER offers a fully integrated, secure and compliant platform for internal and external collaboration. With rights management in place, external participants like partners, customers and suppliers are allowed to participate in workflows and access documents and content according to their needs. From our perspective, the Doxis4 iRoom eliminates the hurdle of long email threads where users lose the overview of what the latest version is and who is in charge of the next steps. Our customer Eissmann Group Automotive even created an award-winning, comprehensive supplier portal for all supplier collaboration, based on the Doxis4 iRoom.

Collaboration and productivity – more important than ever

Forming the basis for multiple collaboration and team workspace use cases, the underlying criteria productivity and collaboration should be native components of a CSP collaboration solution. Today’s situation further emphasizes their urgency and need. Here, business continuity plays an important role. We feel that our content services platform not only enables us, the SER Group, to work flexibly from home, but also empowers our customers to provide the service and continuity they need internally and with their customers, suppliers and partners.

Overall, we think that the 2019 Gartner Critical Capabilities report has a lot more to discover than collaboration and productivity tools. Find out how Doxis4 performs in the other use cases relevant to Gartner: Content Application Composition, Document Management, Integrated Business Applications and Records Management. Doxis4 scores at least 3.8 or higher out of 5 in all of these use cases.
